Receptionist cum Administrative Assistant

Admin. & Receptionist – In this role, you will be responsible day-to-day administration and organizational support to ensure the smooth and efficient daily operation of Singapore entities. To be successful as an Admin assistant you should be able to oversee and ensure smooth and efficient daily operations.
You will:
- Administrative Assistant
- Provides administrative duties, like filing administrative documents, data entry, etc.
- Prepares purchase orders for all office related services and items.
- Prepares payment requests for all office-related invoices.
- Order office and pantry supplies
- Update Office Expenditure Tracker
- Maintaining equipment inventories list and evaluating new equipment purchase, whenever required.
- Responsible to supervise and inspect contractors' works, i.e. security and cleaners
- Responsible for the maintenance and upkeep of facility including Fire Extinguishers, Furniture and all other items in offices.
- Receptionist
- Manage incoming calls and direct to the intended parties
- Take and deliver timely messages to the intended recipients
- Receive visitors in the office and escort them to the meeting room as when required
- Ensure visitors are registered into the logbook and visitors pass are issued and returned
- Handle all incoming, outgoing, local and international mails & courier deliveries
- Assist in meeting room bookings and arrangement when required
- Coordinate with travel / hotel providers as and when necessary
- Able to handle ambiguity and confidentiality
- Others
- Back-up for team members and/or Admin Manager
- Any other ad hoc duties as assigned by the Admin Manager
- Able to work as a team
You Bring:
- At least a Higher Secondary / Pre-U/A level/College/Professional certificate or equivalent
- At least 3 year(s) working experience in a similar field
- Preferably junior executives specializing in clerical / administrative support or equivalent
- Have good computer application knowledge (eg., Excel, Words, Power Point, etc.)
- Have good phone etiquette, anticipation, analytical skills, with problem solving aptitude.
- Excellent communication skills, both written and spoken in English
