Task 1: Back Office Administration
  1. Create a routine to process invoices & purchase orders, and obtain approval & signatures for all retail functional tasks, and job services provided by third parties/vendors.
  2. Coordinate with Retail VM, Project, Merchandising, Training & Operations team to supply retail services & works, ensure plan & executive effectively.
  3. Handle & settle all post services & works including payment, follow-up works & service schedules.
  4. Ensure sufficient supply in retail supply, stationery, and essential items, constantly place orders to store in office’s storage,e and forecast for long-term usage.
  5. File & keep tracking all retail store documents, invoices, service records, store rosters, performance reports &, etc in the proper manner
  6. Handle calls from external parties, customer feedback, cross cross-department communications effectively, ensure reach out & to executives within the stakeholders/ person in charge.
Task 2: Store Management Support
  1. Compile store end-of-month report & cross-check every single remuneration/entitlement and coordinate with the P&O team for store team wages.
  2. Compile store documents & submission reports every end of the month, cross-check & store properly.
  3. Collect store team rosters before every month's end and submit them to the Retail Ops Manager for cross-checking & approval.
  4. Supply retail supplies, essential items & stationeries to stores upon request from the store team, control & manage every single request to ensure cost efficiency.
  5. Provide services & arrange consumable items to store upon Retail Ops Manager approval.
  6. Inter-communications with cross departments for equipment & services support for store team.
  7. Handle deliveries of documents & essential items to store team, landlords & vendors.
  8. Performs other duties as required or assigned.
Task 3: Co-functions with Retail Ops Manager
  1. Arrange meetings & appointment requirements based on the Retail Ops Manager & Retail Area Manager's request, and assist in minutes upon request.
  2. Constantly assist Retail Ops Manager & Retail Area Managers in engagements with vendors & service providers, complete price comparisons & related tasks within time frames.
  3. Compiles daily, weekly, monthly, or annual reports from POS, external web portals, service provider portals & back-end systems upon request.
  4. Keeping a safe & healthy environment in work places, meeting rooms & store rooms, measuring safety & health SOPs, and compliances & rectifying whenever needed.
