Position Summary:

We are seeking a highly organized, proactive, and dynamic Office Manager to oversee daily operations and ensure our office runs smoothly and efficiently. The Office Manager will play a critical role in creating a positive work environment, supporting staff, and ensuring administrative excellence across all departments.

Key Responsibilities:

Office Administration
  • Manage day-to-day office operations, including supplies, facilities, and vendor relationships.
  • Maintain office efficiency by organizing office procedures, systems, and layouts.
  • Oversee scheduling of meetings, appointments, and company events.
  • Maintain up-to-date price list of all external suppliers, facilities and vendors.
Government/Corporate Tenders
  • Search and create the list of relevant tenders for the company.
  • Prepare all required documents for each tender according to the tender specifications.
  • Upload all required documents to the tender platform a day before the due date for submission.
  • Maintain up-to-date certifications of all training staffs (internal and external)
  • Maintain up-to date certifications of all external partners (caterer etc...)
Staff Support
  • Act as the first point of contact for internal teams and external stakeholders.
  • Support onboarding of new employees (desk setup, IT requests, orientation materials).
  • Foster a positive, organized, and productive work environment.
Finance and Procurement
  • Manage office budgets, petty cash, and vendor invoicing.
  • Coordinate with Finance on purchasing, billing, and expense reporting.
Facilities Management
  • Liaise with building management for repairs, security, and maintenance.
  • Ensure health, safety, and regulatory compliance in the office environment.
Communication & Coordination
  • Handle general communications and dissemination of information internally.
  • Organize and manage company records, policies, and important documents.
  • Plan and coordinate office events, meetings, celebrations, and team-building activities.
