About the role:
The Executive Assistant will provide high-level administrative support to multiple senior executives in a fast-paced, dynamic environment.
The ideal candidate will have excellent organizational, communication, and interpersonal skills, a strong attention to detail, and the ability to manage multiple tasks simultaneously with stakeholders in US, Europe and Asia. This role demands a highly professional, motivated, and dependable individual who is capable of handling confidential matters with discretion and responding to challenges with flexibility and ease.
Key Responsibilities:
- Calendar Management: Efficiently manage and prioritize multiple senior executives' calendars, scheduling meetings, appointments, and travel arrangements with attention to detail and time sensitivity.
- Travel Coordination: Organize and manage travel itineraries, ensuring all logistical details are in place, including flights, hotel accommodations, and ground transportation.
- Expense Management: Prepare and process expense reports accurately and in a timely manner, ensuring compliance with company policies.
- Communication: Serve as the first point of contact for internal and external inquiries, including answering calls and emails in a professional and prompt manner.
- General Administrative Support: Provide general administrative support such as preparing reports, drafting and editing correspondence, managing filing systems, and assisting with project coordination as needed.
- Confidentiality: Handle sensitive and confidential information with the highest level of discretion and integrity.
- Facilities Support: Act as the point of contact for facilities-related matters in the region, ensuring a well-functioning office environment and addressing any facilities-related needs.
- Team Collaboration: Work closely with the administrative team, collaborating on various tasks and providing backup support when needed, ensuring continuity of operations.
- Professionalism and Proactivity: Be highly motivated, proactive, and responsive to the needs of the executives and the team. Ensure that all tasks are completed in a timely and efficient manner, anticipating needs and addressing them before they arise.
Qualifications:
- Proven 10 years of experience as an Executive Assistant or in a similar administrative role, within the financial services or investment management industry in Singapore.
- Exceptional organizational skills with the ability to prioritize tasks, manage competing demands, and work effectively under pressure in a fast-paced environment.
- Strong verbal and written communication skills, with the ability to communicate effectively and professionally at all levels.
- High level of proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
