To augment our manpower resources within the Office of Undergraduate Studies, we are looking for a suitably qualified candidate to provide administrative support.
Job Description
The successful applicant will be a member of the team handling the administration of the Computer Engineering and the Bachelor of Information Technology (BIT) undergraduate programmes to ensure their smooth running.
Key duties are:
A. Administration of the Computer Engineering Programme (CEG).The Computer Engineering Programme is a programme jointed owned and administered by our School of Computing (SoC) and the College of Design and Engineering (CDE). It is a full-time undergraduate programme meant for pre-professional training of students who have graduated from A-levels, Polytechnic, International Baccalaureate (IB) and NUS High School.
Duties include (but not limited to):
- Administer the CEG Programme for Year 1 and 2 students
- Organise the Welcome Tea and course briefings for CEG freshmen and year 2 students on a yearly basis
- Coordinate and schedule interviews for Discretionary Admission and NUS Scholarships for CEG students.
- Coordinate with CDE Office on the timetable schedule for CEG1 and 2 based on the recommended schedule
- To update CEG website and calendar of events for freshmen etc.
- Inform freshmen on upcoming events and instructions on course registration before course registration starts for Year 1 and 2 students.
- Handle all enquiries for CEG1 and CEG2 in general
- Administering of weak CEG1 and CEG2 students
- to assist in collating, compilation of information and notes taking for EAB accreditation exercise for CEG
The Bachelor of Information Technology programme as a continuing educational training programme aimed to graduate adult students with their first degree in information technology. It is jointly operated with the School of Continuing and Lifelong Education (SCALE), which handles its student matters and business development.
It is both a part- and full-time 3-year non-honours programme for students with significant work experience.
Duties include (but are not limited to):
- Assist the BIT Programme Director (BIT PD) in the administration of the BIT with respect to academic functions assigned to the undergraduate (UG) office
- Act as the liaison between the BIT PD and the School's departments and administrative offices (e.g., finance office), and SCALE with respect to instructors' and teaching assistants' teaching assignments, classroom allocation, exam venue allocations and instructing staffs' course payment (where applicable)
- Assist in handling curriculum requests (e.g., keeping clear records, chasing for submission deadlines) for the BIT programme.
- Serving as the personal assistant to the BIT PD in matters related to the smooth running of the BIT programme where needed.
The job holder will also assist with other special assignments:
- Support undergraduate event management such as University/Faculty level events: Open house, Commencement duties, examination conduct, Programme Information Sessions, as well as other ad hoc special projects assigned.
- Administrative tasks assigned by the Vice Dean (Undergraduate Studies Office) or Senior administrators
- Bachelor's Degree holder or Polytechnic Diploma holder, preferably with work experience in a fast-paced, dynamic environment.
- Demonstrate initiative and good interpersonal communication skills.
- Good writing skills and experienced with web management.
- Analytical, resourceful and energetic.
- Able to multi-task and deliver under tight deadlines.
- Strong sense of customer service.
- Employment type: 2 years' contract, subject to renewal
