About the Role

We are looking for a proactive and highly organized Executive Assistant (EA) to provide high-level administrative support to the Managing Director and senior leadership at Business Tax Accountancy Pte Ltd (BTA). The EA will play a crucial role in streamlining operations, managing schedules, and ensuring the efficient functioning of the office.

Key Responsibilities:

  1. Executive Support
  • Manage the Managing Director’s calendar, schedule meetings, and coordinate appointments.
  • Screen and prioritize emails, calls, and correspondence.
  • Prepare and edit reports, presentations, and documents for internal and external use.
  • Handle confidential matters with discretion and professionalism.
  1. Administrative & Office Management
  • Oversee day-to-day office operations, ensuring efficiency and organization.
  • Maintain and update company records, files, and databases.
  • Manage office supplies, IT equipment, and liaise with vendors for office-related needs.
  1. Coordination & Communication
  • Act as a liaison between internal teams, external stakeholders, and clients.
  • Organize and follow up on action items from meetings and projects.
  • Assist in HR matters, such as coordinating interviews, onboarding new employees, and tracking leave records.
  1. Finance & Business Support
  • Assist in expense tracking and invoice management.
  • Support procurement and vendor negotiations when needed.
  1. Special Projects & Other Duties
  • Support business initiatives and projects assigned by the Managing Director.
  • Conduct research and compile reports for strategic planning.
  • Take initiative in improving workflow and operational efficiency.

Requirements

✅ Diploma/Degree in Business Administration, Finance, Accounting, or related fields.

✅ At least 1-3 years of experience as an Executive Assistant, Office Manager, or in a similar role.

✅ Strong proficiency in Microsoft Office (Excel, Word, PowerPoint).

✅ Excellent written and verbal communication skills.

✅ Highly organized, detail-oriented, and capable of managing multiple tasks.

✅ Ability to work independently with minimal supervision and maintain confidentiality.

✅ Strong problem-solving skills and proactive mindset.
