Geylang - Secretary / Personal Assistant
We are seeking a highly experienced and proactive Secretary / Personal Assistant (PA) to support the Director in managing his professional and personal commitments. To be successful in this role, you should possess strong organisational skills and problem-solving capability; flexibility to adapt to changes and able to exercise sound judgement to prioritise multiple tasks.
Job Description:
- Provide high level administrative/secretarial support to the Director
- Undertake administrative tasks such as billings, arranging couriers, meeting room bookings, making restaurant bookings, making travel arrangements, and arranging corporate gifting and logistics for off-site meetings
- Plan travel and itineraries, including flights, accommodation, and ground transportation for both business and personal trips for the Director and his family members
- Answer and filter phone calls and emails before directing them to the relevant departments
- Manage calendar including organising meetings, lunch and dinner engagements, scheduling appointments, and sending reminders
- Assist in preparation of presentation materials, reports etc.
- Prepare and manage communications via e-mail, phone and other channels on behalf of the Director
- Prepare and ensure timely submission of Director’s monthly expenses claims
- Welcome and attend to visitors/guests who come into the office
- Coordinate events and catering for senior management
- Support and assist the Director in any special projects or ad-hoc duties
Job Requirements:
- Minimum Diploma in Business Administration or equivalent
- Minimum 5 years’ of experience in an administrative and personal assistant role supporting senior management or business owners
- Meticulous and attention to detail; strong organizational and the ability to multi-task effectively while remaining calm and professional under pressure
- Proficiency in MS office applications (Word, Excel, PowerPoint, Outlook)
- Ability to handle counterparts from all over the world and flexible to respond to urgent request outside regular office hours / Europe and USA time zones.
- Ability to handle confidential information with discretion and maintain a high level of professionalism
- Able to communicate effectively in English and Mandarin as liaison with Mandarin-speaking counterparts is required
- Excellent interpersonal skills and ability to build rapport and interact with internal and external stakeholders at all levels
- Flexible and ability to adapt to changing priorities, able to handle ambiguity and thrive in fast-paced and dynamic environment
