A. JOB SCOPE
Key Responsibilities- Operations
- 1 Ensure effective and efficient operations of the centre.
- 2 General facilities record maintenance, ensure workplace & environmental safety to all
- 3 Attends regular meetings with clinical staff
- 4 Involve with quality improvement projects
- 5 Client management – ensures high satisfaction level and quality service delivery to clients
- 6 Transport – ensures proper maintenance record for vehicles
- 7 Assist centre manager in planning for emergency response plan including fire safety management, pandemic plan and etc
- Administration
- 1 Familiar with clients’ referral, registration and other administrative procedure
- 2 Overall supervision on clients’ billing, subvention claims, application procedures, etc
- 3 Liaise with internal and external auditor in all audit matters
- 4 Ensure accuracy in accounting entries. Provide monthly reconciliation reports to HQ Finance
- 5 Perform sourcing, evaluation of quotations and seek approval for purchases
- 6 Process other administrative process such as centre petty cash claims, clients’ billing and refund procedures, etc.
- 7 Maintains fixed asset records.
- Transport Management
- 1 Provide general support to the transport team on any administrative related matters
- 2 Assist in supporting daily transport operations of SPD’s vehicles and outsourced vendors
- 3 Manage SPD vehicle fleet maintenance and liaising with the HQ team for scheduling for servicing.
- Others
- 1 Responds in an emergency situation.
- 2 Other administrative duties as assigned
- 1 Tertiary education with at least 5-year working experience
- 2 Experience in running social services/ healthcare centre operations advantageous
- 3 Proficient in Microsoft Office and Excel preferred
- 4 Knowledge of ERP (Microsoft Dynamic 365 Business Central) and Microsoft Dynamic 365 CRM will be an advantage
- 5 Proactive, meticulous, effective problem-solving skills, possess good communication and interpersonal skills and a good team player
