About the Role
We’re seeking a motivated Assistant Property Manager to support the management of properties under Haw Par. The main responsibilities include tenant relations, property inspections, maintenance coordination, and lease administration. This is a great opportunity to grow your career in property management.
Key Responsibilities:
Tenancy Acquisition & Administration- Market available spaces
- Liaise with property agents
- Attend to all viewings by prospects along with agents
- Tenant Relationship Management
- Negotiate for best tenancy terms
- Prepare Letters of Offer
- Liaise with lawyers to prepare Tenancy Agreements
- Monitor expiry dates and renewal lead time
- Monitoring all money matters — Deposit, Invoicing, Collection, Arrears, Letters of Demand, Interest Charges, etc.
- Parking matters - Season / Hourly / Breaches, etc.
- Liaise with external legal advisers & Writ of Distress, etc.
- Maintain systematic record management (physical and electronic)
- Attend to handing over and taking over of premises
- Ensure safety and security of the premises
- Oversee security, cleaning, and other building services maintenance contractors.
- Work closely with technical staff on maintenance related matters.
- Ensure well-being and operability of all fixtures and equipment
- Liaise with vendors and suppliers — qualifying status / independence
- Monitor expenditures (budgeted / non-budgeted)
- Liaise on proposed work & work Orders
- Work closely with external consultants such as architects, M&E consultants, QS Structural Engineer etc. on upgrading, improvement and development projects etc.
- Monitor tenant’s fitting out work, reinstatement work, minor improvement works, routine maintenance work.
- Oversee development projects, minor and major upgrading and renovation works
- Monitor maintenance contract expiry dates and renewal lead time
- Ensure compliance with property-related rules and regulations.
- Manage property tax matters, including claims and contesting.
- Conduct periodic property inspections (e.g., fire safety, structural, usage).
- Obtain market reports (URA/JTC data, property consultants, asking rates, etc.).
- Update and maintain tenancy schedule.
- Prepare and submit the Monthly Management Report.
- Maintain and update the Table of Financial Authority.
- Participate in the Annual Budget Exercise.
- Conduct Risk Management Reviews.
- Assist in Annual Property Valuation.
- Support Internal Audit activities.
- Ensure adherence to internal control procedures.
Requirements:
- Diploma or Degree in Property Management, Real Estate, Business Administration, or a related field.
- At least 2-3 years of experience in property management or related roles, preferably in commercial or residential properties.
- Excellent organizational skills with attention to detail.
- Strong communication skills, both verbal and written.
- Strong problem-solving abilities.
- Team player with a collaborative approach to work.
