About the Role:

We are seeking a highly motivated and adaptable Executive Assistant (EA) to the CEO to serve as a strategic partner in both personal and administrative capacities. This hybrid role goes beyond traditional executive support, encompassing elements of personal assistance, business operations, and strategic coordination.

The EA will work closely with the CEO, shadowing department heads across various business functions to gain a deep understanding of operations, challenges, and workflows. This role is pivotal in ensuring seamless communication between the CEO and the company’s leadership team, acting as a key liaison to facilitate efficiency and problem-solving.

Key Responsibilities:

Strategic Support & Coordination:

  • Work directly with the CEO to support all aspects of his daily work routine.
  • Serve as a key point of contact between the CEO and department heads, ensuring smooth communication and follow-ups on key initiatives.
  • Gather insights from department heads regarding operational challenges and provide concise, structured reports to the CEO.
  • Proactively identify issues within various departments and support the CEO in brainstorming and implementing solutions.

Departmental Shadowing & Operational Understanding:

  • Spend a few weeks per department shadowing the Heads of Department (HODs) across: Accounts, Tax, Company Secretary, Compliance, Business Development, HR, Technology, Admin, Marketing, and Legal.
  • Gain a comprehensive understanding of each department’s workflows, challenges, and key performance metrics.
  • Compile insights into structured reports to help the CEO make informed strategic decisions.

Administrative & Executive Support:

  • Manage the CEO’s calendar, scheduling meetings, appointments, and engagements efficiently.
  • Handle confidential correspondence, documents, and reports with discretion and professionalism.
  • Organize and prepare materials for executive meetings, including minutes, presentations, and reports.
  • Coordinate travel, accommodation, and other logistics for the CEO as required.

Communication & Stakeholder Management:

  • Act as a liaison between the CEO and internal/external stakeholders.
  • Draft emails, reports, and presentations on behalf of the CEO.
  • Ensure timely follow-ups on key discussions and decisions across various business functions.

Project Management & Problem-Solving:

  • Support the CEO in executing special projects, research, and initiatives as required.
  • Provide recommendations and actionable insights to improve business efficiency.
  • Assist in identifying and addressing bottlenecks across different departments.

Requirements:

  • Experience: At least 1-3 years of experience in an executive assistant, business operations, or strategic coordination role.
  • Industry Background: Prior experience in a corporate or fast-paced business environment is preferred, though candidates from different industries will be considered.
  • Adaptability & Learning: Ability to quickly grasp new industry knowledge and business processes.
  • Strong Communication Skills: Excellent verbal and written communication skills, with the ability to engage confidently with senior leadership.
  • Problem-Solving Ability: Strategic thinker with a proactive approach to identifying and solving business challenges.
  • Organizational Skills: Highly organized, detail-oriented, and capable of handling multiple priorities simultaneously.
  • Confidentiality & Professionalism: Ability to handle sensitive information with discretion.
  • Tech-Savvy: Comfortable with business productivity tools (e.g., Microsoft Office, Google Suite, project management software).
