About Department and Purpose of the Position

This position provides comprehensive administrative and coordination support to the learning and development function of the Nursing Department. They are responsible for managing various portfolios related to nursing education, professional development, and administrative processes.

Primary Responsibilities and Duties (80%)
  • Ensure smooth administration and efficient support to the Nurse Educators in the hospital. Guide administrative staff in the execution and processing of nursing learning and development functions.
  • Coordinate and manage a comprehensive range of education programs for the Nursing Department. This includes hospital visits and attachments, Certificate of Competency (CoC) courses, Return to Nursing Course, Health Manpower Development Plan (HMDP), and similar programmes.
  • Oversee all aspects of these programs, including managing nominations, registrations, record-keeping, course announcements, and providing necessary logistical and administrative support.
  • Liaise with vendors, staff, and relevant authorities to manage external sponsorships, agreements, and training initiatives. This includes ensuring compliance with HR policies, reviewing agreements, and managing billing and reimbursement processes.
  • Provide administrative support to Nurse Educators for students' clinical postings, ensuring smooth coordination between educational institutions and clinical areas.
  • Oversee financial and administrative aspects, including processing staff honorarium and student allowance payments, prepare annual budget reports, and tracking of external funding.
  • Work closely with internal departments (HR, Finance) and external agencies (ICA, MOM, SNB) to drive nursing training initiatives. Ensure that hospital training needs are met, including budget utilization, training and e-learning hours fulfillment, talent development award placements, and other funded staff development programme placements.
  • Serve as secretariat for key committees, including the Collaborative Prescribing (CP) Practitioners Workgroup and Nursing Credentialing Committee. Coordinate meetings, prepare minutes, process applications, and maintain databases for audits and submissions to MOH.
Secondary Responsibilities and Duties (20%)
  • Participate and make contributions in meetings with the nursing management and external parties as required.
  • Coordinate special projects for Nursing Education and support activities organized by the Nursing Department.
  • Support the production and distribution of nursing communications, such as e-magazines, and assist with special projects such as digitalization and process improvements.
  • Undertakes any other tasks assigned by the Section Heads, Assistant Director of Nursing (Education) and Chief Nurse.
Key Requirements
  • Bachelor’s degree in business administration, Arts and Social Sciences, or equivalent
  • Proficiency in MS Office applications
  • Good understanding of hospital operations
  • Prior working experience in healthcare setting or training-related experience preferred.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and analytical abilities.
  • Strong interpersonal and communication skills, with good business writing.
  • Ability to work independently in a fast-paced environment.
  • Flexible, adaptable, and positive work attitude.
  • Team player with ability to work with all levels of staff.
