Daily Operations and Reporting:

  • To execute daily operations in accordance with the processes and procedures established.
  • To perform all reporting in a timely and appropriate manner.
  • Monthly billing report updating.

Customer and Shipment Coordination:

  • To liaise and follow up with customers on the delivery status.
  • To perform proper follow-up procedures on all expedited shipments.
  • To check shipment status.

Collaboration and Information Flow:

  • To work collaboratively with the warehouse and transport team to ensure seamless information flow and accuracy in the shipments.
  • To schedule next day collection and delivery planning once received NOA (Notice of Arrival) from forwarders.
  • To share next schedule with the transport team via WhatsApp.

Shipment Documentation:

  • Printing of Import Pre-alerts (shipping documents) from emails.
  • To check the Pre-alert contains all the required documents (e.g., AWB, Invoice, and PL).
  • To update the details in the Daily Shipments Spreadsheet.
  • To update details in TM Revo.
  • To generate Delivery Notes.
  • Hand the pre-alerts to the permit declaration team.

Permit and Declaration Process:

  • Once permit is approved, attach all the necessary documents for further processing.
  • Printing of Export permit declarations sent by forwarders (e.g., Flight details, invoice, etc.).
  • Update the Export Dashboard in Revo.
  • To ensure all export declarations are completed on the same day.

Other Duties:

  • To report any service-related issues, escalations, or failures to the supervisor.
  • Any other duties as assigned.

Job Requirements:

  • Proven experience in a logistics, shipping, or operations role is preferred.
  • Experience with shipment documentation, including Pre-alerts, AWB, invoices, and permit declarations, is an advantage.
  • Familiarity with transport and warehouse operations, as well as coordination with cross-functional teams, is beneficial.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) is essential.
  • Strong verbal and written communication skills to liaise with customers, suppliers, and team members.
  • Ability to follow up on issues, escalate problems, and provide clear status updates.
  • Strong organizational skills with the ability to handle multiple tasks, prioritize, and meet deadlines.
  • Attention to detail to ensure accuracy in shipment status updates, documentation, and reporting.
  • Ability to adapt to changing priorities and fast-paced work environments.
