Job Description
The Senior Manager/Assistant Senior Manager (Executive Assistant) will be responsible for supporting the Chief Alumni Officer (CAO) in the following key areas:
Administrative & Events Support- Manage CAO's calendar, schedule meetings, and coordinate travel arrangements.
- Prepare and/or collate reports, presentations, and other documents for meetings and events.
- Handle related administrative matters, including planning, submissions and claims
- Assist with hiring, procurement, budgeting and finance-related tasks.
- Organise and coordinate meetings, including Alumni Advisory Board meetings: prepare agendas, take minutes/notes, and track follow-ups for meetings.
- Handle logistics for key alumni gatherings, including venue bookings, menus, catering, registration and reviews.
- Serve as the internal primary Point of Contact for OAR as Department Secretary.
- Liaise with internal and external stakeholders.
- Maintain strong working relationships with university colleagues and key alumni.
- A recognised degree with 6-8 years of proven track record as Executive Assistant with experience in administrative support, stakeholder engagement and project/event management
- Meticulous, discreet, detail-oriented with strong people skills; an independent self-starter who is resourceful
- Strong command of English with excellent verbal and written communication skills; fluency in another Asian language would be an advantage
- Agile, adaptable and able to multi-task in a fast-paced environment
- Proficient with Microsoft Word, Excel and PowerPoint
- Willing to occasionally work after office hours, when necessary
