The Opportunity
We are seeking a highly motivated and detail-oriented Executive Assistant / Office Manager to join our corporate services team in Singapore. The ideal candidate will have a minimum of 3 years’ experience as a Personal Assistant or Executive Assistant, with a preference for candidates from the financial services or professional services sectors.
Key Responsibilities:
- rovide high-level comprehensive administrative support to senior executives, including managing complex calendars, scheduling meetings, and handling travel arrangements.
- Experience in administering and managing an office is a plus
- Organize internal and external meetings, ensuring that all logistics and necessary materials are prepared.
- Mentor junior corporate services team members.
- Act as the main point of contact for both internal and external stakeholders.
- Assist with office management tasks, including coordinating office supplies, facilities management, and vendor relationships.
- Support with document preparation, including reports, presentations, and other business-related materials.
- Manage day-to-day office operations to ensure a smooth and efficient working environment (e.g. Organization of inbound and outbound mail, administrative work, and general clerical support)
- Handle confidential information with discretion and professionalism.
- Serve as the primary point of contact for both internal and external stakeholders.
- Take on ad-hoc tasks as and when required.
Requirements:
- Minimum 3 years’ experience as a Personal Assistant, Executive Assistant, or similar role.
- Proven experience managing complicated diaries and international travel arrangements.
- Previous experience in the financial services or professional services industry is preferred.
- Strong organizational skills, with the ability to prioritize tasks and manage multiple responsibilities.
- Excellent communication skills, both written and verbal.
- A proactive attitude, with the ability to anticipate needs and solve problems independently.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management tools.
- Strong attention to detail and the ability to handle sensitive matters with confidentiality.
- Working hours: 9am – 5:30pm, Mon – Fri in office (Our office is located at North Canal Road)
- Flexibility in providing out of hours cover as may be required by stakeholders
