Job Description

We are seeking a Personal Assistant & Admin Executive to provide high-level administrative support to our Director. This role is perfect for someone who is meticulous, resourceful, and thrives in a fast-paced environment. You will be the right-hand person to the Director, ensuring smooth operations and efficient management of their schedule, communications, and office administration.

Roles and Responsibilities
  1. Executive Support:
Manage the Director’s calendar, schedule meetings, and coordinate appointments.
Handle correspondence, emails, and phone calls on behalf of the Director.
Prepare and organize documents, reports, and presentations.
  1. Office Administration:
Oversee day-to-day office operations and ensure a well-organized workspace.
Manage office supplies, equipment, and vendor relationships.
Assist with travel arrangements and expense reporting.
  1. Client Interaction:
Act as the first point of contact for clients, ensuring a professional and welcoming experience.
Assist in preparing client meeting materials and follow-up documentation.
  1. Project Coordination:
Support the Director in managing special projects and initiatives.
Track project timelines and ensure deadlines are met.
  1. Confidentiality:

Handle sensitive information with the utmost discretion and professionalism.

Requirements
  • Local Diploma from a Local Polytechnic
  • 2-3 years of experience in a similar role (e.g., executive assistant, administrative executive, or office manager).
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • A proactive, resourceful, and detail-oriented mindset.
