Job Summary: The Executive Assistant cum Receptionist will play a crucial role in supporting the executive team while also managing front desk operations. This position requires a proactive, detail-oriented individual who takes the initiative to support others and maintains a professional yet friendly demeanour at all times.
Key Responsibilities:
- Executive Support:
- Provide administrative support to the executive team, including managing calendars, scheduling meetings, and preparing agendas.
- Assist in the preparation of reports, presentations, and correspondence.
- Coordinate travel arrangements and itineraries for executives, ensuring all logistics are handled smoothly.
- Maintain confidentiality of sensitive information and exercise discretion in handling inquiries.
- Front Desk Operations:
- Greet and welcome visitors, clients, and employees with a smile and a friendly attitude.
- Manage incoming and outgoing mail and packages.
- Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
- Office Management:
- Assist with pantry & office supplies inventory and ordering, ensuring all supplies are adequately stocked.
- Manage the issuance of office passes for employees and visitors, ensuring proper documentation and compliance with security protocols.
- Support the organization of company events and meetings, including logistics and catering arrangements.
- Collaborate with IT and facilities management to ensure office equipment is functioning properly.
- Communication:
- Serve as a liaison between executives and other staff, as well as with external clients and partners.
- Handle inquiries and resolve issues in a timely and professional manner.
- Maintain effective communication across all levels of the organization.
Qualifications:
- At least a Diploma in Business Administration or a related field preferred.
- Proven experience as an executive assistant, administrative assistant, or receptionist in a corporate environment.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Professional appearance and demeanour, with a friendly and approachable attitude.
