Overview:
We are seeking an individual who is highly dedicated and passionate in healthcare to join us as a (Senior) Associate Executive/ Executive Assistant. You will provide operational (e.g., procurement) and administrative support to Senior Nursing Officers / Nursing Officers and Operations colleagues at our National University Children's Medical Institute and other areas of care (e.g., inpatient wards).
Primary Responsibilities- Procurement support (e.g., CAPEX and consumables)
- Assist on any procurement matters, such as purchase of Paediatrics inpatient and outpatient supplies under consignment or blanket order, equipment, and other services necessary for the smooth operations of the KTP-NUCMI
- End-to-end process for purchases, including but not limited to obtaining quotation, raising purchase requests, arranging delivery, processing invoices and delivery orders for billing
- Inventory management: Work key stakeholders (e.g., Nurse Managers) for optimal stockpile management and improve on operational efficiency (e.g., streaming of purchases across departments and to minimise any wastage)
- Assist with tracking and monitoring of CAPEX and OPEX usage in assigned area
- Requisite, control and maintain utilization of office supplies in the assigned area
- Support payment, claims and reimbursement for Paediatric Cluster:
- Payment to external vendors
- Disbursement for research grants
Secondary Responsibilities:
- Support Management of Medical Report and Mortality Report and Non-Accidental Injury (NAI) Report Requests
- Point of Contact (POC) between Dept of Paeds and Medical Records Office (MRO), to facilitate the generation of medical reports accurately and on a timely basis
- Documentation of processes (e.g., procurement) and support continuous improvement initiatives
- Assist department-related events, seminars and conferences.
- Perform any other duties as specified by the supervisor.
Job Requirements:
- Diploma from a recognized institution
- At least 2 years' working experience in clerical or administrative duties, preferably in the healthcare industry.
- Good interpersonal and communication skills
- Meticulous and have a good eye for details
- Ability to multi-task, work independently and work in a team
- Service-oriented and customer-focused
- Proficient in Microsoft Office Applications
