Job Description
Nucleic acid therapeutics, especially RNA medicines, are transforming drug and vaccine development. The Manager/Assistant Manager plays a key role in ensuring the seamless operations of the NATi organisation by providing essential administrative and operational support to the NATi Leadership. This role requires a proactive and resourceful individual with strong communication skills to manage intricate schedules, coordinate critical activities and events, and serve as a central liaison between the executives, internal teams, and external stakeholders.
Responsibilities- Plan and coordinate meetings for NATi leadership (CSO and Director), including agenda setting, logistics, material preparation and distribution, and minute-taking.
- Maintain professional communication with internal and external stakeholders, upholding the organisation's reputation.
- Assist in team management and staff welfare, including onboarding, offboarding, workplace improvements, and managing email distribution lists.
- Organise travel arrangements for visitors and NATi leadership, including budget memos and itinerary coordination and preparation.
- Monitor the operating budget and prepare monthly accounting reports.
- Support key internal projects through research, data compilation, and progress tracking.
- Assist in event planning and execution, including logistical coordination, preparation of promotional materials and stakeholder engagement.
- Perform ad-hoc administrative duties, e.g. secretariat duties, procurement processing, goods receipt, and maintenance of documentation.
- Possess at least a Diploma or Bachelors in a related discipline.
- Proven experience as an Administrative Executive or Personal Assistant, or in a similar role (e.g. hospitality, investor relations, planning and policy)
- Proficiency in Microsoft Office, Microsoft 365, Adobe, SAP/ Workday and other relevant applications.
- Experience with social media platforms and tools (e.g. Canva, Mailchimp, Google Analytics, and social media scheduling platforms) is a plus.
- Agile, adaptable, and able to work independently in a fast-paced environment.
- Strong organizational, time management, and multitasking skills.
- Excellent written, verbal and interpersonal communication skills.
- Detail-oriented, proactive and able to prioritise effectively.
- Comfortable with hybrid work arrangements.
- Familiarity with A*STAR or government operations is a plus.
