Executive Secretary - Geylang
Job Summary:
We are seeking a dynamic and detail-oriented Executive Secretary to provide high-level administrative support to our executive team. The ideal candidate will manage complex schedules, create impactful PowerPoint presentations and analyze sales data.This role requires a well-spoken professional, has a strong business acumen, and can represent the executive team with poise and professionalism.
Key Responsibilities:
Calendar Management:
Effectively manage and coordinate the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
Anticipate and resolve scheduling conflicts, ensuring efficient use of the executive’s time.
Prepare and circulate meeting agendas, minutes, and other relevant documents.
Presentation Preparation:
Create, edit, and enhance PowerPoint presentations for internal and external meetings.
Ensure presentations are polished, visually engaging, and align with the company’s branding standards.
Support the preparation of other communication materials as needed.
Analytical Support:
Conduct in-depth analysis of sales data and other key business metrics.
Prepare detailed reports and presentations based on data analysis to support executive decision-making.
Assist in budgeting, forecasting, and other financial activities by providing accurate data insights.
Business Acumen:
Understand the business’s strategic objectives and contribute to the achievement of goals through informed administrative support.
Actively participate in discussions, offering informed perspectives that align with business goals.
Communication and Representation:
Serve as a point of contact between the executive team and internal/external stakeholders.
Communicate effectively, ensuring clear, concise, and professional interactions.
Requirements:
- Bachelor’s degree in business administration, Communications, or a related field is preferred.
- Minimum of 3-5 years of experience as an Executive Secretary or in a similar role.
- Proficient in Microsoft Office Suite, particularly PowerPoint, Word, and Excel.
- Strong analytical skills
- Excellent organizational and time management skills.
- Superior written and verbal communication skills.
- Well-spoken and able to represent the executive team professionally.
