We are looking for a smart, dynamic, and energetic individual to join as a Front Desk and Administration Executive. The Front Desk and Administration Executive will be responsible for greeting clients and visitors to our office. Also, to provide best customer service and oversee giving clients directions to various parts of the office, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail.
General Responsibilities
Front Desk and Customer Service- Set up Office for all Directors.
- Ensure cleanliness for all Directors rooms
- Customer service and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person and office
- Answer, screen, and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Assist Chairman beverage
- Attend to guest's beverage
- Perform clerical duties such as filing, photocopying, transcribing and faxing.
- Update calendars and schedule meetings.
- Support printing of documents for business meeting if required.
- Arrange and manage company board rooms and prep necessaries for any business meetings
- Order and maintain all office supplies, pantry items and keep inventory of stock.
- Arrange business travel and accommodations.
- Arrange of transportation for overseas colleagues or clients.
- Rental of office space and employees accommodation.
- SP services and Wi-Fi registration.
- Administer and allocation of office parking slots and administrations.
- Company mobile phone management
- Subscriptions of Microsoft Office apps
- Keep updated records of office expenses and costs reports.
- Provide general support to overseas visitors.
- Restaurant bookings for overseas visitors.
- Participate actively in the planning and execution of company events.
- Manage internal staff relations.
- Maintaining Company policies.
- Arranging interview schedule if require.
- Onboarding new hires and off-boarding of resigned staffs.
- Manage Cleaners.
- Maintenance of office plants.
- Update monthly administrative reports
- Any other ad-hoc duties.
- Front desking and administration or a related field
- Minimum 5 years of relevant working experience as Customer Service and Receptionist.
- Excellent communication, interpersonal skills and the ability to collaborate with cross-functional teams.
- Strong understanding of office administrative principles and tactics.
