Job Description

The Senior Manager/Assistant Senior Manager (Executive Assistant) will be responsible for supporting the Chief Alumni Officer (CAO) in the following key areas:

Administrative & Events Support
  • Manage CAO's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and/or collate reports, presentations, and other documents for meetings and events.
  • Handle related administrative matters, including planning, submissions and claims
  • Assist with hiring, procurement, budgeting and finance-related tasks.
  • Organise and coordinate meetings, including Alumni Advisory Board meetings: prepare agendas, take minutes/notes, and track follow-ups for meetings.
  • Handle logistics for key alumni gatherings, including venue bookings, menus, catering, registration and reviews.
Communication and Coordination
  • Serve as the internal primary Point of Contact for OAR as Department Secretary.
  • Liaise with internal and external stakeholders.
  • Maintain strong working relationships with university colleagues and key alumni.
Qualifications
  • A recognised degree with 6-8 years of proven track record as Executive Assistant with experience in administrative support, stakeholder engagement and project/event management
  • Meticulous, discreet, detail-oriented with strong people skills; an independent self-starter who is resourceful
  • Strong command of English with excellent verbal and written communication skills; fluency in another Asian language would be an advantage
  • Agile, adaptable and able to multi-task in a fast-paced environment
  • Proficient with Microsoft Word, Excel and PowerPoint
  • Willing to occasionally work after office hours, when necessary
