Job Responsibilities:

Facilities Management
  • Regularly inspect building facilities and equipment, identifying and reporting issues for prompt resolution.
  • Coordinate scheduled maintenance and repairs with contractors and vendors, including HVAC systems, lifts, plumbing, and electrical systems.
  • Oversee the restocking of essential facilities supplies, such as pantry and washroom items.
  • Handle minor repairs (e.g., changing light bulbs, fixing locks) as necessary.
  • Assist in planning and executing preventive maintenance schedules to minimize equipment downtime.
  • Ensure office spaces, meeting rooms, and shared facilities are clean and operational.
  • Suggest and support initiatives aimed at conserving energy and resources.
Workplace Safety & Health
  • Conduct safety inspections to identify hazards and report compliance issues.
  • Help update Risk Assessments (RAs) to ensure alignment with statutory regulations.
  • Manage and process Permit-To-Work (PTW) forms for high-risk activities, such as working at heights.
  • Assist the Compliance & Facilities Manager in implementing safety initiatives within the workplace.
  • Contribute to the development and enforcement of safe work procedures.
Fire Safety
  • Perform routine checks on fire safety equipment (e.g., extinguishers, alarms, emergency exits) and report any issues.
  • Aid in organizing fire drills and ensure staff are familiar with evacuation protocols.
  • Collaborate with external vendors to maintain and inspect fire safety systems.
  • Assist in ensuring compliance with fire safety regulations during audits or inspections by regulatory bodies (e.g., SCDF).
Vendors & Contractor Coordination
  • Coordinate with contractors for services such as cleaning, pest control, security, and waste management.
  • Request and review quotations for maintenance and repair work, ensuring timely completion.
  • Monitor vendor performance to ensure high-quality service and compliance with agreements.
  • Track contract expiration dates to ensure seamless renewals or transitions without service interruptions.
Ad-Hoc Duties
  • Support the Compliance & Facilities Manager with special projects, such as renovations or facility upgrades.
  • Perform other administrative or operational tasks as needed.

Requirements:

  • Minimum ITE qualification in Building Services, Facilities Management, or a related discipline.
  • Minimum 1-2 years of experience in facilities or safety management.
  • Certifications such as Fire Safety Manager (FSM) or knowledge of the Workplace Safety & Health Act are beneficial but not required.
  • Fundamental understanding of building maintenance and facilities management.
  • Knowledge of workplace safety and fire safety regulations in Singapore.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills for liaising with vendors and internal stakeholders.
  • Basic proficiency in MS Office (e.g., Word, Excel, Outlook) or equivalent software.
  • Experience with facility management tools or software (e.g., CMMS, BMS) is a plus.
