Senior Executive - Toa Payoh

We are seeking a highly organized and proactive Senior Executive to provide administrative and operational support to our Managing Director’s Office. The ideal candidate will be able to manage multiple tasks simultaneously, maintain confidentiality, and demonstrate excellent communication and organizational skills.

This role is critical to ensuring the daily operations of the Managing Director’s office run smoothly and efficiently. The Senior Executive will be responsible for coordinating complex agendas, organizing meetings and events, preparing documents and presentations, and acting as a liaison between executives and other internal and external departments.

Job Description:-
  • Provide full Secretarial Support to the Managing Director and Deputy Managing Director, including claims management, meal bookings, name cards, stationeries, etc.
  • Act as a liaison between executives and other internal and external parties.
  • Assist with presentation materials and handle confidential correspondence and internal communications.
  • Maintain organized and up-to-date records of important documents.
  • Manage and coordinate Executives’ agendas and calendars.
  • Namelist management of seasonal greeting cards during festive seasons.
  • Handle corporate gifts and ad hoc gifts as required.
  • Organize Corporate Trips, Meetings and Events.
  • Handle flight reservations and visa applications for MD, DMD, and corporate divisions as needed.
  • Arrange transportation.
  • Organize hotel reservations and meals.
  • Prepare meeting and presentation materials, including seating arrangements and name tent cards.
  • Organize and coordinate Corporate Social Responsibility (CSR) Activities.
  • Any other duties as reasonably required.
Job Requirement:-
  • At least a Diploma in Business Administration or any other relevant disciplines
  • At least 3-5 years of administrative experience
  • Advanced command of technological tools and office software.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Exceptional organizational skills and attention to detail.
  • Ability to work under pressure and manage multiple tasks simultaneously.
  • Proactive attitude and ability to anticipate executive needs.
