Key Duties and Responsibilities

As a Receptionist, you will attend to visitors at the GDC office, handle mail collection, arrange for courier services and provide support to the administration team.
  • Manage and ensure the reception area is always tidy and presentable.
  • Greet and welcome visitors in a warm and professional manner.
  • Notify the host of the visitors’ arrival.
  • Assist visitors in WIFI connection and/or video conferencing set-up.
  • Coordinate changes to meeting room bookings.
  • Manage mails and deliveries by receiving, sorting, and notifying individuals about incoming mail, packages, and deliveries, while also arranging outgoing mail and packages.
  • Manage incoming calls, transfer of calls, and take messages as needed.
  • Verify monthly phone bills and courier services invoices.
  • Monitor office supplies and pantry inventory, purchasing and replenishing items as needed.
  • Manage staff locker issuance, passcode resets and temporary access card management.
  • Liaise with Building Management Office on facility-related issues, such as electrical, air-conditioning and toilet / plumbing matters, etc.
  • Collaborate with the Admin Department on various tasks including creating QR codes for staff business cards.
  • Assist STT GDC counterparts with room booking when they visit the Singapore office.
  • Assist in coordinating and executing company events held within the office premises.
  • Any other duties as assigned.
Requirements
  • Minimum Secondary Education with at least 2 years of relevant experience in an administrative and/or receptionist role.
  • Good verbal and written communication skills
  • Proficient in Microsoft Office (Word, Excel and Outlook)
  • Able to multitask and prioritize tasks effectively
  • Must be flexible to cover duties in the event of the other receptionist’s absence
  • Work 3 days a week; Tuesday, Thursday and Friday
