Job Title: Executive Assistant / Personal Assistant (International Travel)
Position Overview: We are seeking an experienced and highly adaptable Executive Assistant to accompany our senior executive on international travel. This position requires a bilingual individual fluent in both English and Chinese (Mandarin), capable of managing complex schedules, handling travel logistics, providing administrative support, and ensuring seamless communication during business and personal trips abroad.
Key Responsibilities:
- International Travel Companion:Accompany the boss on international trips, ensuring smooth coordination of travel logistics (flights, accommodation, transportation, and itineraries).
- Schedule Management:Keep the boss’s daily schedule organized and on track during travel, ensuring that meetings, appointments, and events are effectively managed.
- Language Support:Serve as a translator and interpreter, helping the boss navigate conversations, documents, and business interactions in both English and Chinese (Mandarin).
- Cultural and Legal Guidance:Provide guidance on local customs, cultural nuances, and business etiquette in various countries.
- Administrative Support:Provide ongoing administrative support, such as managing emails, phone calls, documents, and travel-related paperwork.
- Problem-Solving and Adaptability:Act as the primary point of contact for any travel-related issues or emergencies, ensuring that problems are resolved quickly and professionally.
- Confidentiality:Maintain discretion and confidentiality regarding sensitive information, both personal and business-related.
Key Qualifications:
- Fluency in English and Chinese (Mandarin or Cantonese):Proficiency in both spoken and written English and Chinese is essential, with the ability to translate or interpret in real-time when needed.
- Experience in International Travel:Previous experience traveling internationally and managing travel logistics for senior executives or high-level professionals.
- Strong Organizational Skills:Exceptional ability to manage complex schedules, prioritize tasks, and stay on top of details, ensuring everything runs smoothly while traveling.
- Flexibility and Availability:Willingness to travel frequently, sometimes at short notice, and work flexible hours to accommodate the boss’s schedule.
- Cultural Sensitivity:Knowledge of cultural practices, business etiquette, and legal norms in various countries, ensuring that the boss is always well-prepared for international engagements.
- Problem-Solving and Adaptability:Ability to manage unexpected challenges or changes in plans, keeping a calm and resourceful approach under pressure.
- Discretion and Confidentiality:Must be trustworthy and able to handle sensitive information with professionalism and discretion.
- Must have a driver license and willing to drive in foreign country.
- Willing to work 5.5 days a week, 6 days is a plus.
Preferred Qualifications:
- Experience as a Personal Assistant or Executive Assistant:Prior experience in a similar role, especially working with senior executives, would be an advantage.
- Familiarity with International Business Practices:Experience in global business practices, international communications, and knowledge of international laws and regulations.
- Tech-Savvy:Proficiency with office software (Microsoft Office, Google Suite, etc.) and mobile apps to manage schedules, travel arrangements, and communication efficiently.
