Purchasing & Sales Operations Coordinator

Key Responsibilities:

• Manage the full procurement cycle, including requesting supplier quotations, negotiating pricing, and placing purchase orders.
• Process and follow up on customer orders, ensuring timely and accurate order fulfillment.
• Coordinate import/export shipments and payments in compliance with company policies.
• Reconcile supplier invoices and bank payments, ensuring accuracy in financial transactions.
• Maintain strong relationships with suppliers and customers, addressing inquiries and resolving issues.
• Update procurement and sales databases, tracking supplier pricing, backorders, and sales performance.
• Prepare and send proforma invoices and purchase orders, ensuring clear documentation.
• Monitor backorders and coordinate delivery schedules to optimize inventory availability.
• Work closely with the accounting and finance teams to ensure smooth financial reconciliation.
• Stay informed about market trends, pricing strategies, and procurement best practices.
• Perform other ad hoc tasks as assigned.
• Proficiency in Microsoft Excel and Word, with experience in procurement processes.

Requirements:

• Minimum 2 years of experience in similar job.
• Strong knowledge of Microsoft Excel and Word, as well as internet proficiency.
• Proficiency in English and Mandarin dialects.
• Comfortable handling supplier and customer inquiries.
• Meticulous, responsible, and capable of working independently.
• Singaporean citizenship preferred, but all races are welcome to apply.
