Bukit Merah - Executive Assistant (Central, Administrative)
Contract Duration: 12 Months (renewable subject to your performance)
Location: Depot Road, Singapore
Salary: Up to SGD 3,300 per month
Job Description:
We are seeking a highly organized and proactive Executive Assistant to provide strategic and tactical administrative support to our upper-level executives. The ideal candidate will be responsible for managing calendars, scheduling appointments, handling phone calls and emails, coordinating travel plans, and providing general administrative support.This role requires excellent communication skills and the ability to handle confidential information with professionalism.
Responsibilities:
- Provide comprehensive administrative support to upper-level executives.
- Manage executives' calendars, schedule appointments, and send reminders.
- Coordinate meetings and events, including reserving conference rooms and setting up audio-visual equipment.
- Assist with special projects, prepare complex documents, and gather information for meetings.
- Handle general administrative tasks such as photocopying, faxing, and mailing documents.
- Conduct basic research tasks in collaboration with relevant stakeholders.
- Draft, format, proofread, and edit documents, reports, and presentations.
- Coordinate administrative work within and across departments and divisions.
- Manage all aspects of travel arrangements, including international trips and visa applications.
- Set up logistics and send out communications for virtual and in-person meetings.
- Maintain professionalism and strict confidentiality with all materials.
- Drive operational efficiencies through the development of repeatable processes and productivity tools.
- Act as a delegate for directors in company systems, including HR and procurement.
- Maintain updated org charts and distribution lists.
- Assist with onboarding new employees/interns and manage procurement tasks.
Requirements:
- Proven experience as an Executive Assistant or in a similar role.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in MS Office and productivity tools (e.g., Teams, Smartsheet).
- Ability to maintain confidentiality and handle sensitive information.
- Detail-oriented and proactive approach to work.
- Ability to work independently and as part of a team.
