Position Title: Director of Integrated Facilities Management
Department: Integrated Facilities Management

Reporting to: Managing Director/Chief Executive Officer (MD/CEO)

Overview

The Director of Integrated Facilities Management (IFM) will be responsible for leading and overseeing all aspects of the organization’s facilities operations, ensuring the efficient management, maintenance, and optimization of the department assets.
This senior key leadership position will report directly to the MD/CEO and will be responsible for a broad spectrum of responsibilities including strategic planning, budget management, risk mitigation, stakeholder engagement, and ensuring the delivery of facilities services across the portfolio.

The role requires a high-level of expertise in integrated facilities management, vendor management, stakeholder management, shareholder management, sustainability practices, and operational efficiency.

Key Responsibilities:

Strategic Leadership and Vision
  • Develop and execute the strategic direction of the Integrated Facilities Management program to align with organizational goals.
  • Provide high-level of strategic guidance for facility planning, operations, maintenance, and capital improvement projects, ensuring business continuity and minimizing downtime.
  • Lead the development of a comprehensive facilities management roadmap
  • Embark on restructuring plans to build up a strong performing team within the department
Operational Excellence
  • Oversee and manage the end-to-end of facilities management services including but not limited to building maintenance, energy management, janitorial services, HVAC systems, security services, landscaping, and waste management.
  • Ensure compliance with health, safety, environmental, and regulatory standards, implementing risk management practices to safeguard both the business and personnel.
  • Direct the implementation of technological solutions such as Computerized Maintenance Management Systems (CMMS), IoT-enabled facilities, and Building Management Systems (BMS) to streamline operations and enhance efficiency.
Vendor & Stakeholder Management
  • Lead the negotiation and management of contracts service providers, ensuring service level agreements (SLAs) are met and performance standards are exceeded.
  • Cultivate strong relationships with key internal and external stakeholders, ensuring their requirements and expectations are consistently met or exceeded.
  • Drive continuous improvement and cost-efficiency through the analysis of performance, service delivery models, and industry best practices.
Budget and Financial
  • Develop and manage the Facilities Management budget, ensuring proper allocation of resources to achieve operational and capital project objectives.
  • Oversee expenditure planning for facility improvements, renovation projects, and major system upgrades.
  • Identify opportunities for cost reduction through energy-efficient technologies, preventive maintenance, and vendor negotiations.
Sustainability and Innovation
  • Champion the company’s sustainability goals by integrating green building practices, energy-saving initiatives, and eco-friendly technologies into all facility operations.
  • Monitor and report on energy consumption, waste management, and sustainability metrics to drive continuous improvement and corporate responsibility initiatives.
  • Team Leadership and Development
  • Lead, mentor, and develop a team of facilities management professionals, ensuring high levels of engagement, productivity, and professional growth.
  • Foster a culture of continuous improvement, innovation, and customer-focused service within the facilities management teams.
  • Establish key performance indicators (KPIs) to assess team effectiveness and ensure accountability across the department.
Crisis Management & Contingency Planning
  • Lead the development and implementation of contingency and disaster recovery plans, ensuring facilities are prepared for emergency scenarios, including natural disasters, power outages, or security threats.
  • Implement proactive risk management strategies to minimize disruptions to operations and safeguard company assets.

Requirements:

  • Bachelor’s degree in Facilities Management, Real Estate, Projects Management, Engineering, or a related field
  • Professional certifications such as IFMA’s CFM, BIFM, SIFMA or equivalent
  • 10+ years of experience in facilities management, with at least 5 years in a senior leadership or management role.
  • Proven track record in overseeing complex, multi-site operations and managing large facilities teams.
  • Extensive experience in vendor management, contract negotiation, and strategic procurement.
  • Strong background in budget management, cost control, and capital project oversight.
  • Experience in integrating technology into facilities operations and a strong understanding of automation systems like BMS and CMMS.
  • Results-driven with a proactive approach to facilities management and continuous improvement.
  • High level of integrity, professionalism, and confidentiality.
  • Ability to handle high-pressure situations with diplomacy and poise.
  • Strong business acumen with a focus on maximizing operational efficiency and minimizing costs.
