Job Description:

We are seeking a detail-oriented, highly organized, and dynamic HR and Office Admin Specialist to join our team. This individual will play a key role in managing the daily administrative tasks and supporting HR operations within our organization.

The ideal candidate will have a strong background in human resources and office management, with a passion for delivering high-quality administrative support.

Key Responsibilities

Human Resources (HR) Responsibilities:

  • Application and renewal of work visa/passes
  • Onboard new employees, ensuring all documentation is completed accurately and timely.
  • Maintain employee records, including personal details, job roles, and performance evaluations.
  • Assist with employee relations, addressing concerns and helping to create a positive work environment.
  • Process employee benefits and ensure all HR-related paperwork is filed correctly and confidentially.

Office Administration Responsibilities:

  • Oversee daily office operations, ensuring the office environment is well-organized and equipped.
  • Manage office supplies, ordering and maintaining inventory, and ensuring timely restocking.
  • Coordinate and schedule meetings, conferences, and company events.
  • Prepare reports, presentations, and other administrative documents as needed.
  • Support the management of office facilities and liaise with service providers (e.g., cleaning, maintenance, IT).

Additional Duties:

  • Act as the primary point of contact for HR and office-related inquiries.
  • Manage and update HR-related databases and systems to ensure accurate record-keeping.
  • Support payroll processing and ensure all time and attendance records are up to date.
  • Handle ad hoc administrative tasks as assigned by management.

Required Qualifications:

  • 2+ years of experience in HR and office administration.
  • Experience with work visa applications and renewals.
  • Open to recent graduates in Human Resources, Business Administration, or a related field.
  • Strong knowledge of HR best practices, labour laws, and office management.
  • Excellent organizational and time-management skills.
  • Ability to handle sensitive information with confidentiality and professionalism.
