Job Summary:

We are seeking a motivated Office Administrator to join our maritime team and to support our office’s efficient operation. The role involves a range of administrative tasks, including handling reception duties, coordinating office supplies and maintenance, handling documentation, and assisting with procurement processes and issuing of purchase orders.

The ideal candidate will have experience in office administration.

Key Responsibilities:

  • Serve at the reception desk ensuring a professional and welcoming hospitality for visitors.
  • Carry out administrative tasks to support daily office operations.
  • Maintain office supplies inventory and manage respective procurement processes.
  • Manage the distribution of incoming and outgoing mail and coordinate courier services.
  • Support office building’s fire drills in compliance with building’s management regulations.
  • Liaise with approved vendors for office maintenance and coordinate with building management on facilities related matters.
  • Assist in travel arrangements and accommodation for employees and guests as required.
  • Assist in sourcing codes and issuing purchase orders for procurement of maritime supplies.
  • Coordinate and organize Company’s events and functions.
  • Maintain accurate records of employees’ leave applications and related documentation.
  • Ensure proper organization and filing of all administrative records .

Skills & Qualifications:

  • Degree in business administration or related field.
  • Proven experience in office administration of at least 3 years.
  • Self-motivated and detail-oriented, with excellent organizational skills.
  • Outstanding communication and interpersonal skills, both written and verbal.
  • Ability to work under pressure and meet tight deadlines in a dynamic environment.
