Job Summary: The Executive Assistant cum Receptionist will play a crucial role in supporting the executive team while also managing front desk operations. This position requires a proactive, detail-oriented individual who takes the initiative to support others and maintains a professional yet friendly demeanour at all times.

Key Responsibilities:

  1. Executive Support:
  • Provide administrative support to the executive team, including managing calendars, scheduling meetings, and preparing agendas.
  • Assist in the preparation of reports, presentations, and correspondence.
  • Coordinate travel arrangements and itineraries for executives, ensuring all logistics are handled smoothly.
  • Maintain confidentiality of sensitive information and exercise discretion in handling inquiries.
  1. Front Desk Operations:
  • Greet and welcome visitors, clients, and employees with a smile and a friendly attitude.
  • Manage incoming and outgoing mail and packages.
  • Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
  1. Office Management:
  • Assist with pantry & office supplies inventory and ordering, ensuring all supplies are adequately stocked.
  • Manage the issuance of office passes for employees and visitors, ensuring proper documentation and compliance with security protocols.
  • Support the organization of company events and meetings, including logistics and catering arrangements.
  • Collaborate with IT and facilities management to ensure office equipment is functioning properly.
  1. Communication:
  • Serve as a liaison between executives and other staff, as well as with external clients and partners.
  • Handle inquiries and resolve issues in a timely and professional manner.
  • Maintain effective communication across all levels of the organization.

Qualifications:

  • At least a Diploma in Business Administration or a related field preferred.
  • Proven experience as an executive assistant, administrative assistant, or receptionist in a corporate environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Professional appearance and demeanour, with a friendly and approachable attitude.
