About WT Partnership:

One of the world's largest quantity surveying and construction cost consultancies with offices throughout Australia, New Zealand, United Kingdom, Europe, North America, Mexico, China, India, Hong Kong, Macau, Thailand, Vietnam, Philippines, Singapore and Indonesia is currently looking for an experienced Executive Assistant & Marketing Coordinator to meet the demands of our growing business.

Key Responsibilities

The selected candidate will report directly to the Managing Director SEA and the key responsibilities are as follow:

Executive Assistant
  • Preparation of fee proposals for potential new commissions (70-80% top priority)
  • Preparation of CVs for fee proposals
  • Matching staff CVs for project proposals suitability
  • Preparation of presentation materials (in relation to fee proposals/ad hoc)
  • Owns the end-to-end input and upkeep of client and proposal information in the CRM system (data base) (Monday.com)
  • Serves as the primary contact for SharePoint maintenance, ensuring Company-wide communications and information is up to date, well-organized and accessible as needed.
  • Preparation and distribution of publications and announcements (Email/SharePoint) (Internal marketing)
  • Preparation and consolidation of meeting reports for Directors for annual meetings (e.g. AGM/EGM/others)
  • Acting as main liaison for SEA with global/regional offices for information
  • Ability to manage one EA
  • Other administrative tasks as assigned by the Managing Director.
Marketing Support
  • Collation, preparation and maintenance of marketing collateral and company branding (Capability statements / brochures, project sheets, track records, PowerPoint)
  • Management of website content in conjunction with other WT offices (WordPress for website (SEA), LinkedIn for social media (SEA, update by HK))
  • Monthly meeting with Asia marketing team

Qualifications:

  • Education: Bachelor's degree in business administration, Marketing, Communications, or a related field.
  • Experience: Minimum of 3-5 years of experience in an executive assistant role, with additional experience in marketing or communications preferred.

Skills:

  • Administrative Skills: Strong organizational and multitasking abilities, with attention to detail.
  • Communication Skills: Excellent written and verbal communication skills.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), CRM systems (e.g., Monday.com), and content management systems (e.g., SharePoint).
  • Marketing Skills: Experience with marketing collateral preparation and website content management.
  • Interpersonal Skills: Ability to work effectively with diverse teams and manage relationships with global/regional offices.
