Job Summary:
We are seeking a highly organized and proactive Shipping Executive / Senior Executive to join our team. The ideal candidate will be responsible for managing and coordinating various aspects of shipping operations, including organizing and preparing contracts, issuing invoices, following up on demurrage payments, and handling claims.This role requires strong attention to detail, excellent communication skills, and the ability to work in a fast-paced environment.
Key Responsibilities:
Contract Management:
- Organize and prepare shipping contracts in line with company policies and customer requirements.
- Ensure all necessary documentation is completed accurately and promptly for all shipping-related activities.
- Collaborate with internal teams to review and finalize contracts before execution.
Invoice Issuance:
- Prepare and issue invoices for shipping services rendered, ensuring accurate billing based on contract terms.
- Work closely with the finance department to ensure proper processing and follow-up on outstanding invoices.
- Monitor payment status and assist in resolving billing discrepancies as required.
Demurrage Payment Follow-Up:
- Track and follow up on outstanding demurrage payments, ensuring timely collection from customers.
- Communicate with shipowners, customers, and relevant stakeholders to resolve any demurrage-related issues.
- Maintain accurate records of all demurrage charges and payments.
Claims Handling:
- Handle claims related to cargo, shipping delays, or damages, ensuring proper documentation is collected and submitted.
- Coordinate with insurance companies, vendors, and customers to resolve claims promptly and effectively.
- Maintain a detailed record of all claims and their resolution status.
Documentation and Reporting:
- Maintain accurate records of shipping contracts, invoices, and claim status in the company’s systems.
- Prepare regular reports for management on the status of invoices, demurrage payments, and claims.
Communication and Coordination:
- Liaise with internal teams, shipping lines, third-party vendors, and customers to ensure smooth and efficient shipping operations.
- Provide timely updates on shipping status and any issues that may arise during the process.
Job Requirements:
- Minimum Diploma in Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum of 2 years of experience in handling Time charter and voyage charter operations independent.
- Strong knowledge of shipping contracts, invoicing procedures, demurrage payment processes and broker operations.
- Deep understanding of charter party terms.
- Experience in handling shipping claims and resolving related issues.
- Excellent organizational skills and attention to detail.
- Good English & Mandarin communication skill in order to liaise with Chinese speaking associates / client.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to work independently and in a fast-paced environment.
